Avanti Notum is a trademark search and monitoring tool operated by Avanti Mind Ltd, a company registered in England and Wales.
For the purposes of UK data protection law, Avanti Mind Ltd is the 'data controller' for the personal data described in this policy. That means we are responsible for deciding how and why your data is used.

2. The scope of this policy
This policy covers the Avanti Notum website and the Avanti Notum application. It describes how we handle the personal data of website visitors, account holders and people who contact us.
It does not cover the trademark register data that Avanti Notum searches. That data comes from the public UK IPO register (with the public EUIPO register being added) and is not personal data of yours — see Section 9.
3. What personal data we collect
We collect only the data we need to provide and improve the service.
Account data. When you create an account: your name, email address and password (stored only in a securely hashed form, never in plain text). Optionally, your company or practice name.
Subscription and billing data. If you take a paid plan: your plan, billing status and billing history. Card payments are processed by Stripe — we do not see or store your card number. We hold only the subscription metadata needed to manage your plan.
Search data. The trademark searches you run — the brand names you search, the classes and filters you choose, and the results returned. This is kept as your search history so you can return to past searches. Search data may indicate your business intentions, so we treat it as personal data and protect it accordingly.
Usage data. Basic information about how you use the site and app — pages visited, features used, and technical data such as your browser type and, in general terms, your location (derived from your IP address). This helps us keep the service working and improve it.
Communications data. If you contact us — by the contact form, by email, or through support — we keep a record of that correspondence so we can help you and improve our service.
Cookie data. See Section 8.
We do not knowingly collect data from anyone under 18. Avanti Notum is a business tool and is not directed at children.
4. How we use your data, and our legal basis
Under UK GDPR we must have a lawful basis for using your data. Here is what we do, and why we are allowed to do it.
Where we rely on legitimate interests, we have considered whether our interest is outweighed by your rights, and we believe it is not. You can object to this use — see Section 11.
5. Marketing communications
We will only send you marketing emails — such as new trademark guides or product news — if you have agreed to receive them. Every marketing email includes a one-click unsubscribe link, and you can change your preferences at any time. Service emails — such as monitoring alerts, billing notices and security messages — are part of the service and are sent regardless of your marketing preferences.
7. International transfers
Wherever possible, your data is processed within the UK or the European Economic Area. Some of our service providers may process data outside the UK. Where they do, we make sure an appropriate safeguard recognised under UK data protection law is in place — for example, an adequacy decision or the UK International Data Transfer Agreement — so that your data remains protected.
9. About trademark register data
When you run a search, Avanti Notum draws on data from the public UK IPO trademark register, with the public EUIPO register being added. This register data — mark names, owners, classes, dates and statuses — is published by those public bodies and is not your personal data. This policy concerns the personal data we hold about you: your account, your searches and your use of the service.
10. How long we keep your data
We keep your data only as long as we need it.
- Account data — for as long as your account is open. If you delete your account, we delete or anonymise your personal data within a reasonable period, except where we must keep some of it to meet a legal obligation.
- Search history — retained for 12 months on paid plans, or your last five searches on the Free plan, after which older searches are removed. You can delete individual searches sooner.
- Billing records — retained for the period required by UK tax and accounting law, typically six years.
- Support correspondence — retained for a reasonable period after your enquiry is resolved.
11. Your rights
Under UK data protection law you have the following rights over your personal data:
- The right to be informed — to know how your data is used. That is what this policy is for.
- The right of access — to ask for a copy of the personal data we hold about you.
- The right to rectification — to have inaccurate data corrected.
- The right to erasure — to ask us to delete your personal data. You can also delete your account directly in your settings.
- The right to restrict processing — to ask us to limit how we use your data.
- The right to data portability — to receive your data in a portable format, or have it transferred, where this applies.
- The right to object — to object to processing based on legitimate interests, and to object to direct marketing at any time.
- Rights relating to automated decision-making — Avanti Notum does not make decisions about you by automated means that produce legal or similarly significant effects.
To exercise any of these rights, get in touch via our contact page. We will respond within one month, as the law requires. Exercising your rights is free, and we will not treat you any differently for doing so.
12. How we protect your data
We take the security of your data seriously. The Avanti Notum platform is served over encrypted HTTPS connections, passwords are stored using strong one-way hashing, payment data is handled by Stripe and never stored by us, and access to personal data within Avanti Mind Ltd is limited to those who need it. Optional two-factor authentication is available to further protect your account. No system can be guaranteed perfectly secure, but we work to protect your data using appropriate technical and organisational measures.
13. Complaints
If you have a concern about how we handle your data, please contact us first via our contact page — we would like the chance to put things right.
You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
14. Changes to this policy
We may update this policy from time to time — for example, if we add a feature or change a service provider. When we make a significant change, we will update the 'last updated' date and, where appropriate, tell you by email. We encourage you to review this policy from time to time.
